Job Description
The Fleet Coordinator coordinates the overall operations of major and minor repairs, preventive maintenance, compliance inspections, acquisition, and disposal of PSE’s vehicles and equipment throughout the company regions and multiple facilities. Additionally, they coordinate, schedule, track, and process invoices for the preventative maintenance and roadside repairs of all PSE Fleet equipment. This individual communicates with vendors to produce cost effective and timely execution of required maintenance and repairs, effectively communicates with PSE departments, drivers and vendors to facilitate a transparent service of company vehicles, and responds to and coordinates the response to afterhour’s emergency calls, coordinates flight services, and other related work as required.
The Fleet Coordinator upholds the safety compliance standards inherent in PSE’s operating and/or field procedures related to work responsibilitie, and promotes and supports a culture of total safety.

This job is considered “safety sensitive” as defined in RCW 49.44.240 and is subject to pre-employment drug screening that includes screening for the presence of marijuana and marijuana metabolites.
Job Responsibilities
- Updates, monitors and ensures accurate record keeping of vehicle maintenance and repairs in SAP.
- Supports Fleet Manager and Standards Representative to assist in establishing, implementing and maintaining fleet strategies and best practices.
- Manages internal/external customer relationships.
- Utilizes SAP and Vendor reports to monitor fuel cost and consumption, and deter fraudulent activity.
- Assists various departments with outfitting; accident management and compliance details to provide an overall professional Fleet that will assist employees in doing their jobs efficiently and effectively.
- Maintains an understanding of driver responsibilities and State/Federal regulations to support drivers in the safe/legal operation of PSE Fleet vehicles.
- Fosters a work environment that promotes teamwork, employee satisfaction, and excellence.
- Coordinates the overall operations of PSE’s major and minor vehicle and equipment repairs, outfitting, recalls, warranty issues, preventive maintenance, and compliance inspections (ANSI, DOT, Tank, Crane, & Boom) throughout the company’s facilities and service centers.
- Responds to and coordinates the response to after-hour’s emergency calls, coordinates flight services (company plane), and coordinates assignment of company vehicle pools.
- Manages the acquisition and disposal of PSE’s vehicles and equipment throughout the company facilities and service centers, ensuring the sales proceeds are distributed appropriately.
- Creates internal and external reports, collects data, and develops new processes for the department to optimize daily operations and monitor performance via multiple SAP software applications, such as:
- F1 and F2 reporting of scheduled and unscheduled maintenance (daily).
- Inventory management report (biannual).
- (Compressed Natural Gas) report for Tariffs Department (monthly).
- Interim Funding Reports for Bank of America, PSE vehicle/equipment lease corporation (quarterly), and a mid-year reconciliation report on lease information for the Financial Reporting/Controller’s office
- Regulatory quarterly and annual compliance reports (IFTA, EIA 886, EIA 857, etc.), and ensures vehicles and equipment are compliant with all safety, environmental, and organizational policies and procedures.
- Establishes, coordinates, and monitors vendor contracts for fleet services and supplies to ensure operational achievement of performance goals, customer service, and productivity levels that are commensurate with contract standards.
- Performs standard business of the day activities, such as time entry, material requisitions, invoice processing, licensing, inventory control, imputed income processing, fleet website management, emissions scheduling, and PSE’s motor vehicle incident program.
- Performs other duties as assigned.

- Excellent written and verbal communication skills.
- Ability to multi-task in an extremely fast paced work environment.

The pay range for this position is $70,200.00 - $99,800.00, and this position is eligible for annual goals based incentive bonuses.
