PSE's Executive Support team is looking for qualified candidates to fill an open Executive Assistant position!
Specific details regarding the work arrangements for this position will be discussed in further detail during the interview process.

Job Description

Provides administrative assistance to assigned executives, who include VPs, SVPs, and C-level officers.  Develops and maintains statistical databases and file systems in support of officers’ needs.  Performs data gathering or research and organizes and coordinates meetings for officer. Handles sensitive and confidential information, uses independent and discretionary judgment, and coordinates tasks and assignments simultaneously.  Uses various computer applications to create charts, correspondence, reports and other work as needed.  Interacts at the officer level with professionalism. May interface with high-level external regulatory, legislative and political individuals.

Upholds the safety compliance standards inherent in PSE’s operating and/or field procedures related to work responsibilities. Promotes and supports a culture of total safety.

Demonstrates commitment to conduct business honestly, ethically and consistent with our core values and Code of Conduct.  Ensures duties are performed in accordance with all regulatory compliance obligations.

Job Responsibilities

  • Manages calendars, coordinates travel arrangements, and composes correspondence for officers.
  • Typically first contact for external regulatory and legislative individuals, consulting firms and, occasionally, customers.
  • Prepares and processes officers’ expense reports, and prepares/assists in tracking officers’ budget and expenses.
  • Completes time sheets for officers.
  • Inputs data, retrieves and prepares reports from various computer applications.
  • Gathers and organizes paperwork and data for department.
  • Prepares draft correspondence, emails, meeting materials, and minutes.
  • Acts as liaison between officers and direct reports.
  • Works independently and prioritizes tasks in a fast-paced environment.
  • Organizes departmental meetings and functions, including catering, group e-mail invitation lists and venue reservations.
  • Provides occasional backup to other executive assistants.
  • Passion for continuous improvement and teamwork.
  • Performs other duties as assigned.

Minimum Qualifications

  • 5 years’ high-level administrative or professional experience.
  • Strong verbal and written communication skills.
  • Demonstrated ability to learn quickly.
  • Extensive experience using Microsoft Outlook, Excel, PowerPoint, Word and Visio software.
  • Strong organizational and multi-tasking skills.
  • Experience handling extremely confidential materials.
  • Detail oriented; strong proofreading skills; excellence in production work.
  • Ability to work effectively with both internal colleagues and external parties.

Desired Qualifications

  • College-level coursework.
  • Experience working with SAP or other enterprise-wide software outside of Microsoft Office.
  • Experience or training in customer service/relations.
  • Experience with data analysis, spreadsheet formulas and custom reporting.
